The Elements of a Job Description

A job description
is a statement of the duties, responsibilities and qualifications of a job based
on information obtained through a job inventory form (JIF) or other means. One
purpose of a job description is to identify a job so that it can be seen as
clearly different from other jobs at Mississippi State University (MSU). Another purpose is to create a common understanding of the main objective of the
job and the essential functions of the job incumbent. A job description should
be accurate, concise and complete.

| Job Title |
Specific rank/title associated with the
position along with department/unit name. Example: Publications Editor |
|
| Job Function | A sentence or two that
describes the major reason the job exists. Example: Prepares, assembles, edits, formats, and writes unit publications, including articles, manuscripts, and/or website material. Ensures all materials meet established standards of appearance and content. |

|
Essential Job Functions Description |
Three to eight
statements that tell what the job does by listing major areas of
responsibility. Example:

|
Minimum Qualifications: Training/Registration/ Licensure |
The education, experience,
training and certification necessary to perform the job. If you list
education, you must list commensurate experience as an alternative to
comply with legal standards. Example: Four-year college degree in Communications, Journalism, English or related field OR equivalent related experience, three to five years related experience. |

| Preferred Qualifications | The education,
experience, training and certification preferred to perform the job.
Example: Previous experience working in a library in a university setting. |

| Physical Effort | The physical effort
necessary to successfully accomplish the essential job functions. Example: Able to sit at a computer for extended periods of time without a break. |

| Mental Effort | The mental effort necessary
to successfully accomplish the essential job functions. Example: Be able to prioritize jobs and meet deadlines. Sufficient interpersonal sills in dealing with co-workers, alumni, and the university. |

| Date | The date on which the job description was prepared | |
| Note: If the department chooses not to advertise the position, include on the job description the name, facsimile number, mailing address, and Web address (as appropriate) of the person/committee to which applicants submit materials, and the materials to be included (resume, letters of reference, transcripts, etc.) | ||
